Back Date Entry: Why Past Dates Are Locked

Past dates are blocked by a control the school has set: a closed accounting period, a locked attendance month, the Academic Duration dates, or limits on your own user rights. An administrator finds which control applies and changes the setting or your rights, or makes the correction another way.

Why does EDUBase stop me entering records on past dates?

Back-dated entries are restricted on purpose. When figures have already been reported, paid out or audited, a silent change to an old date can make today's reports disagree with what the owner, accountant or parents were shown earlier.

EDUBase has several separate controls that can block a past date. Each protects a different kind of record, so first find out which one is stopping you. Then you know who can help.

  • Finance entries: the accounting period may be closed.
  • Staff attendance: the month may be locked after salaries.
  • Student or staff attendance and exam entries: the date may fall outside the Academic Duration.
  • Any screen: your user may not have edit rights for that screen or action.

How do closed accounting periods affect back-dated finance entries?

In Finance & Accounting, the school can close accounting periods so nothing can be posted into them. It can also close the financial year with proper closing entries. If you try to post a journal, expense or other income into a closed period, the entry will not go through.

In the new ledger, a posted entry is never edited or deleted. A mistake is corrected by reversing it, and both entries are kept. If you need to correct an old period, speak to the person who manages your accounts before posting anything. They can decide whether a correction in the current open period is the right approach.

Why can't I change last month's staff attendance?

Employee Attendance lets the school lock a month once salaries are done, so nothing changes after payroll has used the figures. Late arrival, short leave and absence feed the salary calculation, so editing a locked month would make attendance and payslips disagree.

If a locked month really needs correcting, go to whoever runs payroll. If a salary was paid on wrong figures, it can be reversed in Payroll & Salaries and paid again correctly.

What is Academic Duration and why does it block some dates?

Academic Duration is an optional setting in School Setup that defines the academic year's dates. When it is switched on, it warns or blocks attendance and exam entries outside the year. Fees and reports are never affected by it.

If you cannot mark attendance or enter marks for a date that should be valid, ask an administrator to check the Academic Duration dates for the session. A wrong start or end date is a common cause after a new session is set up.

Could my user privileges be the reason?

Under Users, Privileges & Activity Log, rights are granted per user, per screen and per action, including view-only versus edit. Each user is also limited to the campuses granted to them. If a colleague can make the entry but you cannot, this is the likely cause.

An administrator can review your rights and grant the edit action if your role needs it. Corrections to past records stay visible. For example, a corrected attendance day is logged, and User Logging shows who created, changed or deleted any record.

What steps should I follow to unlock or correct a past date?

Work through the controls in order. The answer is usually found quickly.

  • Note the screen, the date and the exact message you see.
  • For finance entries, ask your accounts lead whether that period is closed.
  • For staff attendance, ask payroll whether the month is locked.
  • For attendance or exam entries, ask an admin to check the Academic Duration dates.
  • For any other screen, ask an admin to review your user and campus rights.
  • Still unsure? Ask the in-app AI assistant in English or Roman Urdu, or contact support during working hours.

Frequently asked questions

Does Academic Duration stop me entering back-dated fee payments?

No. Academic Duration only warns about or blocks attendance and exam entries outside the academic year. Fees and reports are never affected by it.

Can a posted finance entry be edited later?

In the new ledger, a posted entry is never edited or deleted. It is reversed instead, and both the original and the reversal are kept.

Can I correct a past day of student attendance?

Yes. The View and update option lets you correct a past day if you have the rights, and the change is logged. Entries outside the Academic Duration may still be warned about or blocked.

Will anyone know I changed an old record?

Yes. User Logging records who created, changed or deleted a record, with the changed fields highlighted. A daily summary of important changes reaches the owner.

Who can give me rights to edit past records?

An administrator who manages users and privileges. They can grant the screen and action you need, and the campuses you may work on.

Where can I get help if I cannot find the cause?
