Backups & Data Export: School Data to Excel

In EDUBase, every report can be exported to Excel or CSV: open the fee, attendance or examination report you need, filter it, and export it. This is separate from the regular off-server database backups that the EDUBase team runs for every school.

What school data can you export to Excel from EDUBase?

EDUBase exports every report to Excel or CSV. That means your school's records leave the system through the reports you already use, with the same filters for campus, class, section and date.

For an owner, the useful exports usually fall into three groups: fee and payment records, student attendance and examination results. Each group has its own reports, and each report can be exported or printed.

  • Fees: Day Wise Paid Challans, Detail Fee Report, fee defaulters, Student Wise Fee Status, Fee Audit Report, Class Wise Fee Particular Report and Fee Intimation
  • Results: award lists, Examination Reports and the Teacher Performance report
  • Attendance: individual, per-class, day-wise and combined attendance summaries for students, and combined, individual and monthly reports for staff

How do you export fee and payment records?

Open the fee report that answers your question, choose the campus, class and period, and export the result to Excel or CSV. The file contains the same figures you see on screen.

For year-end work, the Fee Audit Report can be exported for a full year. It keeps historical collection against the class and session at the time of billing, so last year's figures do not shift after students are promoted.

  • Daily cash-up: Day Wise Paid Challans, by day and by user
  • Charges and payments per student, fee head and month: Detail Fee Report
  • Who still owes: defaulters by total amount, by family or by month
  • Paid versus unpaid per class: Student Wise Fee Status

How do you export student results and attendance?

Examination data exports from the award lists and from Examination Reports, which give class, section, subject and term views with grades and positions. Every award list and report can be printed or exported.

Attendance summaries export the same way from the attendance reports. If you need data on leavers, the Students Not Currently Enrolled view keeps their old dues, challans and payment history reachable.

How is exporting different from backups?

In general terms, an export is a working copy of selected data that you take for analysis, an auditor or a board meeting. A backup is a full copy of the database kept so the system itself can be restored if something goes wrong.

In EDUBase, each school has its own separate database, so your records are never mixed with another school's. The EDUBase team takes regular database backups kept off the application servers and monitors the platform externally with alerts. You do not need to run backups yourself; exports are for your own reporting.

How should an owner control and store exported files?

Exported files leave the protection of the portal, so treat them as sensitive. They can contain children's names, family details and fee balances.

EDUBase gives per-user, per-screen and per-action rights with campus scope, so you decide which staff can open which reports. User Logging records who created, changed or deleted records, with a daily summary reaching the owner.

  • Grant report screens only to staff who need them
  • Restrict users to their own campuses
  • Store exported files in a protected location and delete copies you no longer need
  • For a complete extract beyond report exports, discuss your requirement with the EDUBase team
