How to Migrate a School to a Cloud ERP

Audit what the old system does, clean and map student, family, fee and staff data into templates, load old dues and past payments, then switch over at a session or month boundary with a rollback path. Train each role and keep the old system read-only until reports match.

What should you audit before migrating a school system?

Start by listing everything the current system actually does, not what it was bought to do. In most schools the real requirements sit in the printouts the office produces every month and in the habits of one or two clerks.

EDUBase's legacy transformation work begins with a system audit: an inventory of what the old system does, which reports the office prints and which data lives only in people's heads. That last category matters most, because informal rules about sibling discounts, carried-forward dues or special fee arrangements are the ones that get lost.

  • Every report and voucher the office prints, with a sample copy
  • Fee heads, discounts and concessions, including unwritten ones
  • Where old dues and payment history are recorded
  • Who uses the system, and for which tasks
  • Any data held outside the system in Excel sheets or paper registers

How do you extract and clean data from a legacy school system?

Legacy data is rarely clean. The same family may appear under different spellings, phone numbers are stored in several formats, and class names change from year to year. Uploading that as it stands simply moves the mess to a new system.

In an EDUBase migration, exports from Excel, Access, FoxPro or an old database are cleaned, de-duplicated and mapped to EDUBase's student, family, fee and staff tables. Cleaning includes phone-number normalisation, class and section mapping, and family grouping so that siblings sit under one family number before upload.

  • Remove duplicate students and merge split family records
  • Standardise mobile numbers so SMS, WhatsApp and parent OTP login work
  • Map old class and section names to the new structure
  • Group siblings so family-wise vouchers and payments are correct

How do old dues and payment history move to the new system?

The first challan in the new system is the test parents will notice. If an arrear is missing or a paid month shows as unpaid, trust in the new system drops on day one.

EDUBase handles this by loading old dues and past payments so the first challan and the defaulter list are correct. The portal provides Upload First Time Arrears to bring old dues onto the first challan and Upload Challan Payments to load past payments so payment history is complete. Upload Students and Upload Fee Plans cover the student records and fee assignments, and large files are processed in the background with an in-app notification when they finish.

What does the onboarding process look like in practice?

For EDUBase, the school fills a student data Excel template that includes campus and fee details. The EDUBase team uploads it, confirms the result with a screenshot, and then shares the login URL, institute code and admin credentials along with a how-to video.

Because EDUBase is hosted and maintained by the EDUBase team, there is no server to install at the school. Each school's data lives in its own separate database, so a migrated school's records are never mixed with another school's.

When is the right time to cut over to the new system?

Cut-over works best at a natural boundary, when balances are settled and staff expect change. EDUBase's cut-over plan is dated, usually set at a session or month boundary, and includes a rollback path in case something important is found missing.

Before go-live, a feature parity checklist matches every report and printout the school relies on, so nothing disappears on the first day. If the school will collect fees through a bank, EDUBase configures routing with the bank, shares test vouchers and confirms the bank's inquiry and payment tests before vouchers go live.

How do you get staff to actually use the new system?

Migration fails quietly when staff keep a parallel Excel sheet because they do not trust or understand the new screens. Training by role addresses this: the fee clerk, the teacher and the owner each need different screens.

EDUBase runs live Google Meet sessions per role, keeps module-wise YouTube playlists and an in-app Docs page, and provides an AI assistant that answers how-to questions in English or Roman Urdu with links to the exact screen. Human support is available by WhatsApp group and phone during working hours.

Common approaches to switching a school from a legacy system to a cloud ERP

ApproachWhat it involvesWhen it suitsMain risk
Full switch at session startAll modules go live together once the new session's classes and fee plans are setSingle-campus schools with simple fee structuresAny data gap affects every office at once
Switch at a month boundaryArrears are frozen at month end and loaded before the next challan runSchools that cannot wait for a new sessionMid-session promotions and concessions must be captured accurately

Frequently asked questions

Will we lose our old fee records when moving to a cloud ERP?

Not if they are migrated properly. With EDUBase, old dues and past payments can be loaded so the first challan and the defaulter list are correct and payment history is complete.

Can EDUBase import data from FoxPro, Access or an old database?

Yes. Exports from Excel, Access, FoxPro or an old database are cleaned, de-duplicated and mapped to EDUBase's student, family, fee and staff tables.

Do we need to install servers at the school?

No. EDUBase is hosted and maintained by the EDUBase team on managed cloud servers, with one database per school and updates shipped without any installation on the school's side.

What happens if something goes wrong at go-live?

The cut-over plan includes a rollback path, and a feature parity checklist is completed before go-live so that every report and printout the school relies on is matched first.

Can we keep importing data after go-live?

Yes. The portal's bulk import and bulk update tools remain available for later sessions and new campuses.

How are staff trained on the new system?

Through live Google Meet sessions by role, module video playlists, an in-app Docs page and an AI assistant that understands English and Roman Urdu.
