Managed Cloud Hosting for Schools Explained

Managed cloud hosting means the software provider runs the servers, updates, backups and monitoring for the school, so staff simply sign in through a browser or app. The school uses the system without buying, patching or guarding servers of its own.

What does 'managed cloud hosting' actually mean?

In general, 'cloud hosting' means the software and its database run on servers in a data centre rather than on a computer inside the school. 'Managed' adds one more thing: the provider, not the school, operates those servers day to day. That includes installing updates, watching for faults, taking backups and keeping the system secure.

For a school, the practical result is that the fee office, teachers, principal and owner all reach the same live system over the internet, from any campus or from home, without anyone at the school maintaining hardware.

EDUBase Cloud works this way. The platform is hosted and maintained by the EDUBase team on managed cloud servers, containerised and placed behind Cloudflare, and the school's staff use it through the web portal and the Android apps.

Who is responsible for what under managed hosting?

The clearest way to judge any managed hosting arrangement is to ask which tasks move to the provider and which stay with the school. With EDUBase Cloud, the infrastructure work sits with EDUBase, while decisions about people, permissions and data entry stay with the school.

  • Run by EDUBase: managed cloud hosting, one database per school, regular backups kept off the application servers, and external monitoring with alerting.
  • Run by EDUBase: new features and app updates, which ship regularly to every school without any installation on the school's side.
  • Run by the school: creating staff logins, granting screens and actions per user, and restricting users to their campuses.
  • Run by the school: deciding which payments, discounts, salary changes and admissions need a second person's approval.
  • Run by the school: a working internet connection and the PCs, phones or tablets staff use to sign in.

How is one school's data kept separate from another's?

Cloud school software generally follows one of two designs. In a shared multi-tenant schema, many schools' records sit in the same tables and are separated by a school identifier in every query. In a database-per-tenant design, each school has its own database, so records are separated at the storage level rather than only by application logic.

EDUBase uses the second approach: each school's data lives in its own database on EDUBase's servers, so your records are never mixed with another school's. Staff sign in with the school's institute code, then their username, email or mobile number and password, and a web session ends after a period without activity.

How are backups, monitoring and security handled?

On a server kept in a school office, backups often depend on one person remembering to copy files, and nobody notices a fault until the morning queue at the fee counter. Managed hosting replaces this with routine processes run by the provider.

  • Backups: regular database backups are kept off the application servers.
  • Monitoring: external monitoring of the servers, the resolver and the messaging gateway, with automatic alerts.
  • Encrypted transport: all portal and app traffic runs over HTTPS.
  • Parent login: parents receive a one-time code by SMS on a mobile number saved on their child's record, with no password to remember.
  • Device credentials: attendance tablets, sender phones and gates hold their own revocable tokens, so a lost tablet can be cut off without changing anyone's password.
  • Activity record: the User Logging page shows who created, changed or deleted any record, with the change highlighted and a severity badge.

What does the school need on its own side?

Because the servers are not at the school, the school's own requirements are modest: an internet connection, a web browser for the portal, and Android phones or tablets for the Parents, Teachers, Owners and QR Attendance apps.

Some functions are designed with patchy connections in mind. For example, face attendance recognition runs on the gate tablet itself, so a slow internet connection does not hold up the queue at the gate.

Live help is available by WhatsApp group, phone and the in-app assistant from 9:00 AM to 5:00 PM on working days, while the AI assistant, tutorial videos and documentation are available round the clock.

How does a school move onto managed hosting?

Moving from registers, Excel or desktop software is mainly a data task. With EDUBase, the school fills a student data Excel that includes campus and fee details; the EDUBase team uploads it, confirms with a screenshot, and shares the login URL, institute code and admin credentials with a how-to video.

Old dues and past payments can be loaded so the first challan is right. After go-live, the portal's bulk import tools let the school upload students, fee plans, first-time arrears and challan payments itself, with large files processed in the background.

Frequently asked questions

Do we need our own server or IT staff to use managed cloud hosting?

No server is needed at the school; EDUBase hosts and maintains the platform. Someone at the school should still manage staff logins, privileges and approvals.

Is our school's data stored together with other schools' data?

No. Each school has its own separate database on EDUBase's servers, so records are never mixed with another school's.

Who takes backups and checks that the system is running?

EDUBase does. Regular database backups are kept off the application servers, and external monitoring with alerting covers the servers, the resolver and the messaging gateway.

How do we receive updates and new features?

New features and app updates ship regularly to every school without any installation on the school's side. Android apps update through Google Play in the normal way.

How do we control which staff can see fees, salaries or student records?

Each staff member gets their own login with per-screen and per-action rights, limited to the campuses granted to them. The User Logging page shows who changed what.

Can we move our old records from Excel or desktop software?

Yes. The EDUBase team uploads your student data from an Excel template, and old dues and past payments can be loaded so the first challan is correct.

What happens if our school's internet is slow?

Staff need a connection to use the portal, but some tasks are built for weak links; face attendance recognition, for instance, runs on the gate tablet so a slow connection does not hold up the queue.
