What Problem Does EDUBase Cloud Solve for Schools?

EDUBase Cloud replaces the single office PC, paper registers and ageing desktop fee software with one managed cloud platform where each school's data sits in its own database, is backed up off-server and is monitored, so staff, parents and owners work from the same records.

What problem were schools facing before cloud school software?

Many schools still run on a mix of paper registers, Excel sheets and a desktop fee program installed on one office computer. The whole school's history often lives on that single machine, and frequently only one clerk understands how it works.

When that PC fails, is stolen or the clerk leaves, fee records, admissions and old dues can be lost or locked away. Separate tools for fees, attendance and exams also mean the same child is typed in several times, and the figures rarely agree.

  • One computer holds the entire school's data, with no reliable copy elsewhere
  • Owners cannot see collections or attendance unless they are physically in the office
  • Fees, attendance and exams are kept in different places and drift out of step
  • Bank payments have to be entered by hand from deposit slips
  • Nobody can say who changed a fee or a student's status, or when

How does a database for each school solve the data-mixing risk?

Cloud school software is usually built in one of two ways. In a shared multi-tenant design, every school's records sit in the same tables, separated only by a school identifier that the application must apply correctly on every query. In a database-per-tenant design, each school has its own separate database, so isolation does not depend on every query being written perfectly.

EDUBase Cloud uses the second approach: every school has its own separate database on EDUBase's servers, so your records are never mixed with another school's. The back end runs PHP / Laravel APIs with MySQL, one schema per school. Staff sign in with the school's institute code, then their username, email or mobile number and password, and a web session ends after a period without activity.

How are access and accountability controlled inside the school?

Isolation between schools is only half the problem; schools also need control inside their own walls. EDUBase gives each staff member exactly the screens and actions they need and records what they do.

  • Per-user, per-screen and per-action privileges, including view-only versus edit
  • Campus scope, so a user sees only the campuses granted to them
  • User Logging: a plain-sentence activity log with critical, important and normal severity, opening the record with the change highlighted
  • A daily summary of important changes to the navbar bell and the Owner App
  • Approvals so payments, discounts, salary changes, admissions and leave can require a second person
  • Parent login with a one-time SMS code, so no parent password to remember
  • Attendance tablets, sender phones and gates hold their own revocable device tokens

What happens to backups, reliability and monitoring?

With an office PC, backups depend on someone remembering to copy files to a USB drive. EDUBase Cloud is hosted and maintained by the EDUBase team, with regular database backups kept off the application servers.

The platform is monitored around the clock with automatic alerts: external monitoring covers the servers, the resolver and the messaging gateway. All portal, app and integration traffic runs over HTTPS, and new features and app updates ship to every school without any installation on the school's side.

How does moving from a legacy system avoid losing history?

The biggest fear in leaving old software is losing old dues and payment history. During onboarding the school fills a student data Excel with campus and fee details; the EDUBase team uploads it, confirms with a screenshot and then shares the login URL, institute code and admin credentials with a how-to video.

Old dues and past payments can be loaded so the first challan and the defaulter list are correct. For schools replacing desktop software or an old portal, the legacy transformation work includes a system audit, data cleaning and mapping, a feature parity checklist of every report the office relies on, and a dated cut-over plan with a rollback path.

Which everyday office problems does this remove?

Because admissions, fees, attendance and exams read from the same student record, the office stops retyping the same child into different tools. Parents who pay at HBL, Bank Alfalah, Meezan Bank, PayPro or KuickPay, or through 1Bill and 1LINK channels, have the challan marked paid automatically using the consumer number on the voucher.

Owners and principals see today's P&L, attendance, collections and defaulters in the Owner App across campuses, instead of waiting for someone to print a report.

Frequently asked questions

Is our school's data stored with other schools' data?

No. Every school on EDUBase Cloud has its own separate database, so your records are never mixed with another school's.

What happens if our office computer breaks?

Nothing is lost, because the data is not on that computer. Records are held on managed cloud servers with regular backups kept off the application servers, and staff can sign in from another device.

Can we control which staff see fees or salaries?

Yes. Privileges are set per user, per screen and per action, including view-only versus edit, and users can be limited to specific campuses.

Will we lose our old dues when we switch from our current software?

Old dues and past payments can be loaded during onboarding so the first challan and defaulter list are correct. The EDUBase team uploads the data and confirms it with a screenshot before sharing logins.

Do we need our own server or IT staff to run it?

No. EDUBase Cloud is hosted, maintained and monitored by the EDUBase team, and updates reach every school without any installation on your side.

How do parents log in securely?

Parents log in to the EDUBase Parents App with a one-time code sent by SMS to a mobile number saved on their child's record, so there is no password to remember.
