EDUBase clears demo or test data through the controlled Data truncate option, which needs strict rights and is logged. Confirm with the EDUBase team what it will clear, then load real students, fee plans and old dues with the bulk import tools.
Why should test data be cleared before a school goes live?
Most schools try a new system with practice records first: dummy students, sample challans, test payments and trial attendance. That practice is useful, but if it stays in the system it distorts the numbers the owner relies on every day.
Test challans appear in defaulter lists, sample payments show up in collection reports, and practice attendance changes percentages. Clearing them before real work begins means fees, attendance and exams start from a clean base.
- Defaulter lists and fee reports show only real families
- Daily P&L and cash figures are not inflated by test payments
- Roll numbers, family numbers and challan history start cleanly
- Parents never receive a message meant for a test record
How does EDUBase clear demo or test data?
EDUBase includes a controlled Data truncate option for clearing demo or test data. It is protected by strict rights, so ordinary staff logins cannot run it, and the action is recorded in the User Logging activity log.
Because clearing data is hard to reverse, treat it as a permanent step. Before running it, speak to the EDUBase team through your support WhatsApp group or by phone and confirm exactly which records it will clear in your school's case.
- Only users granted the right can run it
- The action is logged with who did it and when
- Confirm the scope with the EDUBase team before you start
How do you protect your setup while starting fresh?
Your setup is the work you do once and reuse everywhere: campuses, classes, sections, sessions, reference lists, the Holiday Calendar, fee plans and fee heads, grading policies, print templates and branding, user logins and privileges. Losing it would mean repeating days of configuration.
The safe approach is to separate setup from transactional test data before you clear anything. Write down what you want kept, check it with the EDUBase team, and export any reports you want as a record to Excel or CSV first.
- List the setup you must keep: campuses, classes, sessions, fee plans, templates, users
- Export test-period reports to Excel or CSV if you want a record
- Agree the scope with the EDUBase team in writing before clearing
- Check the setup screens again once the clearing is finished
How do you reload real data after clearing?
Once the test records are gone, real data goes in through the bulk import tools. Large files are queued in the background and you are told in-app when they finish, so staff can keep working.
During onboarding the EDUBase team can load your student data from the Excel template, confirm with a screenshot and share the login URL, institute code and admin credentials with a how-to video.
- Upload Students: add or update students in bulk from Excel
- Upload Fee Plans: assign fee plans to students in bulk
- Upload First Time Arrears: bring old dues onto the first challan
- Upload Challan Payments: load past payments so history is complete
Who should be allowed to clear data?
In EDUBase, rights are given per user, per screen and per action, and users can be limited to their own campuses. The right to clear data should sit with the owner or one trusted administrator, not with the fee office or front desk.
User Logging records who created, changed or deleted records with a severity badge, and a daily summary of important changes reaches the navbar bell and the Owner App, so the owner can see when anything significant happens.
- Keep the clearing right with one or two named people
- Review User Logging after the clearing is done
- Remove the right again once go-live is complete
Can a new school start from a ready-made settings template?
Yes. The Import demo settings option lets a new school start from a ready-made settings template. This is useful for a new campus or institution that wants a working base for settings before entering its own details, rather than building everything from an empty system.
Ways to start fresh in EDUBase and what each involves
| Approach | What it does | When it suits | Points to watch |
|---|---|---|---|
| Data truncate | Clears demo or test data under strict rights, with the action logged | Before go-live, after a trial period with practice records | Confirm the scope with the EDUBase team first; treat it as permanent |
| Bulk update | Changes class, section, status, fee plan or other fields for many students at once | Correcting real records rather than removing them | Changes are recorded in the student change log |
| Mark students as left | Keeps history, records a leaving date and moves them to Students Not Currently Enrolled | Real students who have actually left | Not a way to remove test records; their dues stay reachable |
| Import demo settings | Starts a new school from a ready-made settings template | A new school or campus setting up for the first time | Review and adjust settings to your own policies |
| Bulk import tools | Upload students, fee plans, first-time arrears and challan payments from Excel | Loading real data after clearing | Clean the Excel first to avoid duplicates |
| Onboarding by the EDUBase team | Team uploads the student data Excel and confirms with a screenshot | First-time onboarding and migration | Fill the template completely, including campus and fee details |
